Carrier Vetting FAQs

HOW WE MANAGE AND RESPOND TO CARGO CLAIMS

TQL provides comprehensive claims management services through a dedicated team of professionals to ensure all parties' compliance with claim regulations and industry standards. This team facilitates all freight claim filings from beginning to end, and acts as a liaison between carrier partners and impacted parties.

  • Customer/Shipper has 9 months from date of delivery to provide TQL required documentation to open a claim.
  • Carrier has 30 days to respond, 120 days to provide resolution. TQL handles claims 3x faster than the industry average.

TYPE OF CONTINGENT CARGO AND LIABILITY COVERAGE

A copy of TQL's insurance certificate will be provided. TQL as a brokerage has $500k in Contingent Cargo Coverage, and all subcontracted carriers that haul freight for TQL carry a minimum of $100k in Cargo Coverage, though many of our carriers have higher-than-minimum cargo insurance. TQL's General liability is $5,000,000.

  CARRIER VETTING AND COMPLIANCE STANDARDS

CARRIER VETTING/ONBOARDING

FMCSA safety rating requirements (e.g., conditional, unrated, etc.)

  • TQL follows FMCSA guidelines and industry standards when evaluating carrier safety ratings.
  • Carriers with elevated risk profiles (e.g., conditional ratings) are generally avoided under current practices.
  • Safety ratings are continuously monitored throughout the carrier relationship.
  • Agreement to the terms of TQL’s Broker/Carrier Agreement.
  • TQL utilizes third-party vendors to facilitate the vetting and maintenance.

Minimum operating authority tenure requirements

  • Carriers must have valid and active operating authority issued by the FMCSA prior to approval.
  • Authority status is verified during onboarding and continuously monitored thereafter.

Insurance requirements (minimums and verification process)

  • Minimum required coverage includes:
  • $1,000,000 auto liability insurance, except where local law requires additional coverage.
  • $100,000 cargo insurance.
  • Insurance is verified directly with the carrier’s insurance agent (not accepted directly from carriers).
  • TQL continuously monitors insurance for cancellations, lapses, or changes.

CARRIER MONITORING

Carrier oversight at TQL is ongoing, not one-time. We actively monitor carriers throughout our relationship, changes in the following areas can trigger removal: status changes (authority, insurance, safety indicators); performance and reliability; signals related to fraud, theft, or compliance risk. If a carrier no longer meets our standards, they are removed from our network. We take safety and security seriously and have designed a strong carrier vetting and fraud prevention model:

Layered Risk Model

  • TQL uses a multi-layered vetting approach, combining proprietary internal data with multiple external sources rather than relying on a single system.
  • Our processes are intentionally redundant, allowing carriers or loads to be flagged across multiple checkpoints for enhanced review.

Human Oversight + Technology

  • TQL supplements advanced technology with dedicated personnel who review flagged activity, ensuring adaptability as fraud tactics evolve.
  • We know combining automation with human judgment reduces gaps and strengthens overall risk management.

Internal Measures

  • TQL’s proprietary TMS has status automation that locks out certain carriers, with no overrides.
  • If a carrier is removed from our network, that decision is made in the TMS which removes that carrier from further use.

THE OPERATIONAL AND FINANCIAL INFRASTRUCTURE TO ABSORB INCREASED LIABILITY EXPOSURE

TQL has no outstanding bank debt or long-term liabilities alongside access to a revolving credit line. Currently, TQL holds significant liquid assets to cover all current liabilities operating as a non-asset-based brokerage. Our resilient customer base is made up of over 40,000+ active customers with none of those representing more than 1% of our revenue.

VISIBILITY AND COMMUNICATION PROCESSES IN PLACE IF AN ISSUE OCCURS

TQL utilizes a single point of contact model that streamlines communication and limits redundant information. All inquiries and communications will be provided through those active communication channels. A dedicated org chart and escalation structure can be provided upon request.
